Getting started

Your first hour in ShopMaxx

Success = one customer saved + one work order on the Active Jobs board.

Public release October 1, 2026. Built for shops of 20 people or fewer.

Use Start free trial to try it (14-day Pro+). Use Sign up for a permanent account. Same app either way. You’ll need your shop name (that’s also your login username) and a 6-digit PIN (numbers only).

1. Create the shop

~2 min
  1. Open Start free trial (or Sign up for a permanent plan).
  2. Enter shop name, email, 6-digit PIN.
  3. Pick the industry closest to your floor (metal fab is fine if you’re unsure).
  4. Agree to Terms → create.
  5. On the success screen, hit Log in.

Done when: you have a shop and are headed to login.

2. Log in

~1 min
  1. Use Log in on this site (or https://app.maxxshopsystems.com/).
  2. Type your shop name.
  3. If more than one shop shows up, click yours in the list.
  4. Enter your 6-digit PIN.

Done when: you see the dark shop UI (sidebar + board or Maxx chat).

3. Answer Maxx (or skip letterhead)

~3–5 min

First login may open a short Maxx chat that pins your New buttons.

  • Do: describe the shop in plain words; when asked for New button names, use short names like Work order, Repair, Install.
  • Don’t: paste your city into button names; type a long paragraph as a button name.
  • If letterhead/rates setup appears, choose run later / cancel — come back from Settings later.

Done when: left sidebar shows short New … buttons.

4. Add one customer

~1 min
  1. Open Customers (or the customer field on a new work order).
  2. Add someone real, or Test Customer.
  3. Name + phone is enough. Save.

Done when: customer is in the list / selectable on a job.

5. Create one work order

~3 min
  1. Click a New … button in the left sidebar.
  2. Pick the customer from step 4.
  3. Add one line: part name + qty 1. Skip drawings / photos / freight for now.
  4. Save.

Done when: job is saved and visible (or form closed ready for the board).

6. Find it on Active Jobs

~1 min
  1. Open the Dashboard / Active Jobs board.
  2. Find your job card.
  3. Open it once, then go back.

Done when: you can point at that card — that’s the first hour.

What to ignore on day one

  • FleetMaxx
  • QuoteMaxx waitlist (not live — ShopMaxx already has quotes / requests on Standard+)
  • Portals, schedule, material catalogs
  • Perfect logo / letterhead
  • Full inventory load
  • QuickBooks Online sync

Day one = shop → login → customer → one job on the board.

Day two (optional) · ~15 min

  • Invite one coworker (their own PIN under your shop)
  • Glance at Shipping / Will Call and Need to Bill
  • Add 3–5 real materials if you stock them
